We wrote this policy in plain English. Story Night Studios, LLC (“Story Night Studios,” “we,” or “us”) creates illustrated portraits, illustrated story videos, and printed keepsakes from the photos and stories that families and businesses share with us. This page explains what personal information we collect on storynightstudios.com and when you place an order, ask for a quote, or request a free sample, how we use it, who helps us handle it, how long we keep it, and the choices you have. Many orders include photos of children, so we have been especially clear about how photos are handled.

What you give us

• Contact and order details: your name, email address, phone number (if you give one), billing and shipping address, the products you choose, and your order total, sales tax, and shipping method.
• Story details: names, ages, relationships, occasions, dates, memories, messages, and any other notes you type into our order form or send us.
• Photos and media: photos or video footage you choose to submit for your portrait, story video, or keepsake.
• Messages: emails, texts, or calls you send us, including approvals and feedback.
• Business accounts and credits: if you buy portrait credits for a business, we also keep your business name, contact details, logo (if you send one), order history, the delivery details you give us for each portrait, and your credit balance and expiration dates. We keep track of your credits and will report your balance whenever you ask.
• Recipients: if you use framed portrait credits, you give us the names, delivery addresses, and email addresses of the people who will receive a frame or a digital portrait. You confirm that you have permission to share them with us for that purpose.
• Quote requests: if you ask for a quote, we collect your name, business name, email address, phone number (if you give one), the number of portraits you want, and any note you add.
• Free sample requests: if you request a free sample, we collect your business name, your name, your email address, your phone number (if you give one), the photo you submit, your logo and placement notes if you choose to send them, any note you add, and, if you tell us, how you heard about us.

Information from other sources

Business contact details, such as a name, business name, mailing address, email address, phone number, and website, that we find in public sources and business contact lists, so we can contact businesses as described under “Mail and email to businesses” below.

What we collect automatically

When you visit our website, our website platform, Squarespace, records technical information such as your IP address, device and browser type, the pages you view, the website that referred you, and your approximate location (city or region). See “Cookies and website analytics” below.

Payment information

You pay through Squarespace Payments or Square. Your card details go to them, and we do not receive or store your full card number.

What we do not collect

We do not ask for Social Security numbers, government ID numbers, or bank account numbers. We do not knowingly collect personal information directly from children.

How do we use your information?

We use your information to:

• Create your order or sample: illustrate (including with AI-assisted tools), check, edit, narrate, print, and finish your portrait, story video, or keepsake.
• Take payment, calculate sales tax, and ship or deliver your order, including to a recipient you name.
• Track and report business credit balances.
• Communicate with you about your order, quote, or sample, including confirmations, questions, proofs, revisions, delivery, and support.
• Follow up with businesses that requested a sample or a quote, and send information about our products and services, as described below.
• Keep our website working and secure, and understand how it is used.
• Meet legal, tax, and accounting requirements and resolve disputes.
• Show finished artwork in our portfolio, only as described under “Portfolio and permission” below.

We do not use your information for any other purpose.

How we use AI-assisted tools

We use AI-assisted tools to convert your photo into an illustrated portrait and to help check the result for accuracy. We then review each portrait ourselves and make edits when it needs them before anything is delivered. Your photos and details go to these tools only as needed to make and check your order or sample. These tools are run by other companies, which handle information under their own terms. We do not sell your photos, we do not use them to advertise, and we do not share them with advertisers or data brokers.

For Illustrated Portraits, we use a private account with a third-party AI illustration service, Leonardo.Ai, so your photos and portraits are not public, and under that service’s terms private content is not used to train its AI models. The service may review content for safety, security, and support under its own terms. We delete your photos and portraits from the service when we delete them from our own records.

Who do we share your information with?

We share information only with the kinds of companies below, and only as much as each one needs to do its part of your order.

• Payment processors: Squarespace Payments and Square process your payment.
• Website and store platform: Squarespace hosts our website, checkout, forms, and site analytics.
• Order and file tools: Jotform (our order and sample forms), Zapier (moves order details between our tools), Airtable (our order database), and Google (our email and workspace).
• Production tools: the AI-assisted tools described above, including Leonardo.Ai, and the software we use to edit and finish your order.
• Print, fulfillment, and delivery: for physical orders, our print and fulfillment partners and shipping carriers receive the shipping address you give us, including an address for someone other than you, and the artwork or item they need to produce and deliver it. Story videos are delivered by a private link hosted by a file-hosting service and sent to your email. Anyone who has the link can watch, so please share it thoughtfully.
• Email delivery: the email services we use to send our messages.
• Advisers and authorities: our accountant, insurer, or attorney when needed, and government or law-enforcement agencies when the law requires it or to protect people’s safety or rights.
• A buyer of our business: if Story Night Studios is ever sold or merged, your information may transfer to the new owner, who must honor this policy.

Each company handles information under its own privacy policy, including Squarespace (https://www.squarespace.com/privacy), Square (https://squareup.com/us/en/legal/general/privacy), Jotform (https://www.jotform.com/privacy/), Airtable (https://www.airtable.com/company/privacy), Zapier (https://zapier.com/privacy), Leonardo.Ai (https://leonardo.ai/privacy-policy), and Google (https://policies.google.com/privacy).

Do we sell your information?

No. We never sell, rent, or trade your personal information or your photos, and we do not share them with advertisers or data brokers.

Mail and email to businesses

We send letters and emails about our products and services to businesses and individuals we think may be interested. We find their contact details in public sources and business contact lists. Emails are sent from an address at storynightstudios.com or storynightstudios.io.

Every promotional email identifies Story Night Studios, includes our mailing address, and has an unsubscribe link. We honor opt-outs promptly and always within 10 business days. If we contacted you and you have never ordered from us, you can write to us to ask where we found your details and to have them deleted. Order-related emails, such as confirmations and delivery notices, are not promotional and will still be sent to customers.

Business orders and free samples

• If you place a business order or request a free sample, you confirm that you have the right to submit every photo and logo you send us, and that you have permission from every person pictured (or from their parent or guardian) for the photo to be used to make your order. Please see our Terms of Service.
• If you use framed portrait credits, you also confirm that you have permission to share the names, addresses, and email addresses of recipients with us. We use them only to make and deliver your order.
• Your order link is tied to your order, and anyone who has it can submit photos. Please share it only with people you want to receive a portrait.
• Photos submitted through a business order or free sample follow the same retention and deletion rules as every other order, described below.
• We keep the business contact details you give us so we can support your order, follow up on your sample or quote, and send you information about our services. We delete them whenever you ask.

Portfolio and permission

We may show finished artwork, never your original photos, in our online portfolio.

• If a portrait or story includes a child, we do this only with your written permission.
• For adult-only portraits, tell us at checkout if you would rather we did not, and we will not.
• If you change your mind later, email us and we will remove the artwork from our own pages within 5 business days. We cannot recall copies that other people have already saved or shared.

Photos, videos, and information about children

Our ordering process is for adults. Every order or sample, including any photos, names, or details about a child, is placed by a parent, guardian, business, or other adult who has the right to share them. Please send only photos you have the right to share. Our website is not directed to children, and we do not knowingly collect personal information directly from them. If a child has sent us information, tell us and we will delete it.

Photos and details about children are used only to produce the item you ordered, including in the AI-assisted tools described above. They are never sold, never used to advertise to anyone, and never used for any purpose beyond your order without the ordering adult’s separate written permission.

How long do we keep your information?

• Photos and finished portraits (all orders and samples): we keep your submitted photos and the finished portraits for 60 days after we deliver your order or sample, so we can fix problems, answer questions, and handle reprints. After that, we delete them. If you need a reprint or reorder after that time, we may ask you to send your photos again.
• If you ask us to delete sooner: we delete your photos and finished portraits within one business day of verifying your request, and we do not ask why. Please note that if you ask us to delete your photos before your order is finished, we may not be able to complete it.
• Copies held by print and delivery partners: the files we send to our print and fulfillment partners to produce a physical item are handled under those partners’ own policies, so a copy may remain with them for a period we do not control.
• Copies held by the AI service: we delete our photos and portraits from our account with the service when we delete them from our own records. The service’s own policy says deleted information may stay in backup archives until it can be removed, so a copy may remain briefly for a period we do not control.
• Order records and quote requests (your name, contact details, what you ordered or asked about, credit balances, the delivery details for each shipment, and payment records): kept as long as needed for tax, accounting, and legal purposes and so we can help with questions.
• Business and outreach contact details: kept until you ask us to delete them. We delete them when you ask, and we keep only a record of your opt-out so we do not contact you again.

How do we protect your information?

Working copies of your files are kept on password-protected computers and drives that we control. Completed photos and finished portraits are stored in encrypted files. When we delete your photos and finished portraits, we delete them from our own computers and drives, from the copies held in our order tools, and from our account with the AI illustration service. We also use established platforms (listed above) that maintain their own security programs, and we limit access to the people who need it to complete your order. No online system is perfectly secure, so we cannot guarantee absolute security. If a security incident affects your information, we will notify you as the law requires.

Cookies and website analytics

Our website is built on Squarespace, which places small files called cookies on your device.

• Essential cookies keep your cart and checkout working, protect against fraud, and remember your cookie choices.
• Analytics cookies let Squarespace Analytics count visitors and show us which pages and sources they come from, so we can improve the site.

We do not run advertising on this site, and we do not add advertising or ad-tracking tools to it. Some pages may include embedded content from other services, such as video, our free sample form (from Jotform), and its spam-protection check, which may set their own cookies. Our pages also load fonts from Google Fonts, so Google receives your IP address when a page loads. You can block or delete cookies in your browser settings, though checkout may not work without the essential ones. Our website does not currently respond to “Do Not Track” browser signals.

Your choices and rights

You can ask us to:

• show you the personal information we have about you and give you a copy,
• correct anything that is wrong,
• delete your information, including your photos and finished portraits, or
• stop contacting you and delete your contact details from our lists.

To make a request, email theodore@storynightstudios.com or call 864-326-5084. If you are a customer, please write from the address you used on your order so we can confirm it is you. You can also use the unsubscribe link in any promotional email. We delete photos and finished portraits within one business day of verifying your request, and we will respond to other requests within 30 days. When you ask for deletion, we also pass the request to the partners that hold your information. We may keep limited records we are legally required to keep, such as tax and payment records.

Residents of some states have additional privacy rights. Whether or not those laws apply to a business our size, we honor these same requests from anyone. If you are unhappy with how we handled a request, tell us and we will take another look.

Other things to know

• Links to other websites. Our site may link to other websites, such as social media. We are not responsible for their privacy practices.
• Where we operate. We are based in the United States. Some of our providers, including the AI illustration service, may store or process information in other countries, such as Australia. If you visit from another country, your information may be processed in the United States and in those countries.

Changes to this policy

We may update this policy as our business or the law changes. We will post the new version here and change the “Last updated” date. If a change affects how we use information you have already given us, we will tell you first, by email when we have your address. Please check back from time to time.
